## Information we collect

When you request an assessment or contact SmartCloud, we may collect your name, organization, work email, optional phone number, organization type, approximate number of employees, reason for contacting us, and an optional short message.

Please do not submit passwords, account identifiers, security findings, network diagrams, credentials, or other sensitive technical information through the public website.

## How we use information

We use submitted information to understand and respond to your request, evaluate fit, coordinate follow-up, maintain business records, protect the website, and improve our services and operations.

An assessment request does not subscribe you to marketing. Request-specific correspondence is separate from marketing consent. SmartCloud does not sell personal information or use it for cross-context behavioral advertising.

## Technology and service providers

SmartCloud uses Cloudflare infrastructure to deliver and protect the website, process form requests, mitigate automated abuse, and store submitted records. Platform security systems may process request metadata such as an IP address independently of SmartCloud’s application.

This website uses Google Analytics to understand which pages are read and how people arrive. It sets cookies in the browser and sends information about the visit, including a truncated IP address, to Google. It is used to measure the website in aggregate. It is not used to identify anyone, is not combined with the details submitted through the assessment form, and is not used for advertising. Browsers can block these cookies, and the website works normally without them.

SmartCloud’s application does not intentionally store the submitter’s IP address, user agent, or full referring URL with the assessment record. Notification and email providers may process information needed to deliver request-specific correspondence.

## Retention

**Prospective client records** Ordinarily 24 months from the last meaningful contact

**Customer records** Engagement duration plus 7 years where needed for tax and contract records

**Inactive contact records** Ordinarily 12 months, then deleted or anonymized

**Communication suppression records** Retained to continue honoring an opt-out

Records may be retained longer when reasonably necessary for a legal hold, dispute, enforcement of an agreement, security investigation, or another specifically documented exception. Retention decisions are reviewed rather than extended automatically.

## Security and access

SmartCloud uses administrative, technical, and operational safeguards designed to protect submitted information. Access to contact records is restricted. No internet transmission or storage system can be guaranteed to be completely secure.

## Your choices and questions

You may ask about information you submitted, request a correction or deletion, or ask SmartCloud to stop marketing communication. Some records may need to be retained for a documented legal, contractual, security, or operational reason.
